Lock Symbol is missing for the Records – SharePoint Office 365 Record Centre

In the earlier articles, we saw enough about the Record Centre settings, convert into records etc., Now, let us have a look on a strange thing. Look and feel of the Record. i.e., a Lock symbol will be appearing on the icon to show that it is a record.

But, when we create a new Record Library, and start working on these records, the Lock symbol does not appear. On the below File, though it is declared as Record, the lock symbol does not appear.

This is because, the Record Declaration Settings. The default setting is, “Block Delete”.

Go to Site Settings -> Record Declaration Settings

In that case, the Lock symbol will not appear. If we make the settings as “Block Edit and Delete” then only the Lock symbol will be appearing.

And one important thing is, whatever the documents, which is converted as record prior to make this change, the lock symbol will not be appearing. In that case, we need to undeclare those files and declare them back as record. Then the Lock symbol will start appearing.

Note: The practical implementation for this scenario was, when we do the migration, some of the documents will be converted as records, but without lock symbol. Our end users might be in an impression that, Record cannot be edited as well deleted and should appear with a lock symbol. In those scenarios, this setting and the workaround will be useful.
